EMAS Systems and Operations provides information technology solutions to facilitate and streamline business functions throughout the Enrollment Management and Services division in support of University goals and initiatives. We are committed to strong partnerships, creative technology-based solutions, and promoting best practices while ensuring adherence to data security policies.

EMAS Systems and Operations

Staff across EMAS facilitate systems access and support as well as LANtech services. The Systems and Operations team is the primary point of contact for staff in the following departments:

System Access Request (SAR)

System Access Request (SAR) Overview for the Student Information System. SAR is also utilized to manage access to Slate and OnBase.

  • Before a SAR request can be made, all employees must complete the Information Security and Privacy Acknowledgement (ISPA) form available in MyPack Portal.
  • If a requested role requires access to purple-level data, the employee must also complete the Users of Sensitive Data Training through Reporter before access can be approved.
  • You or your manager should contact the SAR administrator in your department and explain what access is needed. If you don’t know who your SAR admin is, contact oit_access_mgmt@help.ncsu.edu.

Enrollment Systems

Our team supports a variety of systems used across Enrollment Management and Services. Below are systems we manage the access for and provide support for regularly.

Adobe Creative Cloud gives users access to a collection of software developed by Adobe for graphic design, video editing, web development, photography, and cloud services. A paid license is required for use.

  • Access Requests: Email Karlisle Kirkland to request a user license. You will need to provide your business needs to support the request.

  • Once a license has been procured, the user may download Adobe Creative Cloud to their device through their Software Center (Windows) or Self-Service (Mac).

Element451 is an AI-powered CRM designed for higher education institutions to support the student journey including a chat bot, digital agents and marketing automation tools.

Kiteworks is a secure file sharing platform designed to help protect sensitive information and comply with data privacy regulations. 

LastPass Enterprise enables administrators to manage shared passwords and accounts centrally while employees have an individual password “vault” where they can manage their individual site and service logins.

Lucidchart is a web-based diagramming and visualization tool that offers effective dynamic chart collaboration options for anyone with internet access.

The National Student Clearinghouse (NSC) is an external system our institution uses to manage key student data reporting and verification services. It supports critical functions such as enrollment and degree reporting, compliance with federal and state regulations (like NSLDS reporting for financial aid), and secure verifications for third-party requests. Staff use NSC to streamline processes around student record updates, graduation reporting, and transcript exchange.

OnBase is the institution’s centralized document storage and management system, used to securely capture, store, organize, and retrieve digital documents. It supports a wide range of departmental needs, including admissions, financial aid, student records, HR, and more. Staff use OnBase to view and manage documents tied to student files, employee records, and operational workflows

  • Access Requests: Email Hannah Bryan and Karlisle Kirkland to request access to OnBase including name and unity ID. Access requests are submitted through SAR.
  • Once a licensure has been procured, Karlisle will ensure the software gets pushed to the appropriate PC.

PeopleSoft is the institution’s official Student Information System (SIS), serving as the central platform for managing student data and academic and financial aid records.

Technolutions Slate is the institution’s comprehensive admissions and enrollment management platform.

  • Slate Share
    • This instance is managed by Enrollment Management and Services and includes Non-degree Studies admission, readmission, DVM and DELTA admission. The system is also utilized as a CRM for current students in all careers by enrollment management offices and by Parents and Families Services.
    • Access requests and support tickets: Complete the Service Request/Security Form to submit any errors, access requests and enhancements to the EMAS team.

  • UGRD Slate
    • This instance is used primarily by admissions and recruitment staff, as well as other offices that engage with the admissions student population including, New Student Programs, Park Scholarships, the Honors Program and the Community College Collaboration (C3). The system enables staff to manage communications, track prospective student engagement, review application materials, and coordinate admissions decisions in one centralized, user-friendly interface.

PackAssist is NC State University’s centralized scholarship application portal, designed to streamline the process for students applying for institutional scholarship opportunities, as well as for internal departments and colleges managing the selection and awarding of recipients. The system utilizes scholarship management software provided by Blackbaud, Inc.

  • Access requests and support: If a department or college representative needs access to review or select scholarship recipients, please contact Ken Fick in the Office of Scholarships and Financial Aid for assistance.

OneOrigin AIRR is an AI-powered transcript processing solution designed to streamline and automate data acquisition from transcripts. With advanced automation and real-time CRM integration, AIRR rapidly extracts, validates, and maps transcript data, reducing manual effort and improving accuracy.

  • Access requests should be submitted to Undergraduate Admissions.
  • AIRR is utilized by Undergraduate Admissions and Registration and Records staff only.

OIT provides supplied software that may meet your needs as well as software that is available to you as an NC State staff member, but it may require purchasing. Contact Karlisle Kirkland if you would like to access or purchase OIT supplied software.

    • EMAS IT has a standard configuration for staff equipment.
      • This standard configuration includes a flexible work arrangement laptop and office docking station and an office phone.
        • Variations and exceptions are made on a case-by-case basis.

The eduroam network is NC State’s preferred network for students, staff, and faculty. It provides secure and encrypted access to the internet and our campus resources.

  • Google Workspace is the official university email and calendaring system.
  • Your email address is in this format: yourUnityID@ncsu.edu
    • You may request an email alias, an easy-to-remember alternative email address that points to your NC State Gmail address.
  • EMAS staff will be added to the EMAS Division Google group to receive division-wide updates.
  • S Drive
    • Each staff member should have access to a S:\\ Drive available on their computer.
      • The name and location of this drive varies by your department. If you feel your S:\\ Drive is not accurate to your position please contact EMAS_IT@help.ncsu.edu
    • Your S:\\ Drive is the only location approved for the storage of Ultra-Sensitive (Purple) Data.
  • Google Drive
    • Personal storage
      • Files stored in your Google Drive are automatically private and only shared with the people you authorize.
    • Shared storage

A generic google account represents a role versus an individual.

A Google Group is an online environment where group members can communicate and collaborate on items of interest. In addition, Google Groups can be leveraged for permission management and access to files and other items.

  • You can see which groups you belong to by selecting Groups under Google Apps in your NCSU Gmail account.
  • Contact Karlisle Kirkland to request creation and management of Google groups or to be added to an existing group.

The IT Accessibility Office provides resources, trainings and techniques for creating universally usable IT resources at NC State.

University phones are supplied in each office environment and Cisco Jabber is supplied for flexible work arrangements.

NC State provides a virtual private network (VPN) connection through the Cisco Secure Client software. A VPN connection is required when accessing SIS from an off-campus connection.

Zoom is a web conferencing tool and all faculty, staff and students with a Unity ID have access to an NC State Zoom license.

  • Zoom offers an add-on for Google Calendar. The add-ons allow users to schedule, join, and manage meetings via Zoom directly from your Google calendar or Gmail account.
